Privacy notice
This notice explains what personal information we use, why we use it, who we may share it with, how long we keep it and the rights available to you.
1. Information we collect
- Identity and contact details, including your name, telephone number, email and service address or postcode.
- Booking-request information, property details, preferred dates, access information, service preferences and communications.
- Quotation, invoice and payment-status records. Payment providers may process card or account details on our behalf; we do not need to retain full card details.
- Service records, feedback, complaints and photographs where permitted or reasonably required to document work.
- Website and device information provided through necessary logs, cookies or third-party services.
- Business contact and supplier information where relevant.
The booking-request form prepares a structured WhatsApp message on your device. Your details are sent only when you review and send that message through WhatsApp. Do not include keys, alarm codes, card details or unnecessary health information.
2. Why we use it and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Answer enquiries, provide quotes, manage bookings, deliver services and take payment | Steps before entering into a contract and performance of a contract |
| Manage quality, safety, access, complaints, fraud prevention and business administration | Our legitimate interests in operating a safe, effective service, balanced against your rights |
| Accounting, tax, insurance and responding to lawful requests | Legal obligation and, where relevant, legitimate interests |
| Send direct marketing | Consent where required, or legitimate interests where the law permits; you can opt out at any time |
| Use identifiable photographs for promotional purposes | Your consent, which you may withdraw for future use |
3. Who we share information with
We share only what is reasonably necessary with authorised cleaners and contractors, IT and website providers, communications and payment providers, accountants, insurers, professional advisers, and public authorities where legally required. Providers act under appropriate confidentiality and data-protection arrangements. We do not sell your personal information.
4. Booking requests, website links, reviews and cookies
When you choose “Prepare request in WhatsApp”, the website opens WhatsApp with the details you entered ready for you to review and send. WhatsApp processes information under its own privacy terms. Our website also links to Google and Trustpilot. The embedded Trustpilot review tool and those external services may receive technical information and use cookies under their own privacy notices. Following an external link takes you to that provider’s service. We will use non-essential analytics or advertising cookies only with any consent required by law.
5. International transfers
Some service providers may process information outside the UK. Where this happens, we require an appropriate legal safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or an approved addendum, together with proportionate security measures.
6. How long we keep information
We keep information only for as long as reasonably needed. Enquiries that do not become bookings are normally retained for up to 12 months. Booking, invoice, payment and core contract records are normally retained for up to six years after the relevant transaction or relationship, reflecting legal, tax and claims requirements. Routine access instructions are removed when no longer needed. Complaint, incident and insurance records may be kept for the applicable limitation or insurance period. We securely delete or anonymise information when retention is no longer justified.
7. Security
We use proportionate organisational and technical safeguards, restrict access to people who need the information, and require confidentiality from staff and service providers. No online system is completely risk-free, but suspected breaches are assessed and reported where the law requires.
8. Your rights and complaints
Depending on the circumstances, you may ask us for access to your personal information, correction, erasure, restriction, transfer, or objection to processing. Where processing relies on consent, you may withdraw it without affecting earlier lawful use. You may also object to direct marketing at any time. Some rights are subject to legal conditions and exemptions.
Contact support@lovashconsultancy.com. We may need to verify your identity and normally respond within one month. We will acknowledge and investigate data-protection complaints in line with applicable law. If you remain dissatisfied, you may complain to the Information Commissioner’s Office.
9. Changes to this notice
We review this notice regularly and will update the review date when material changes are made. Where appropriate, we will bring important changes to your attention directly.
